Right to Access

Once we have compared your (the subjects’) rights to “the public interest in the availability of the data”, we may delete your personal data where you have requested this.
We allow you to receive the personal data concerning you, which we will provide in a ‘commonly used and machine readable format’ and you have the right to transmit that data to another ‘controller’.

We hold and process only the data absolutely necessary for the completion of our duties (data minimisation), as well as limiting the access to personal data to those needing to act out the processing.
Section 1 – What do we do with your information?
If you choose to fill in a contact form on our website, or application form in our offices we will store that information for 6 months and only use it for the purpose of contacting you in relation to that enquiry, and in respect of deciding whether a tenancy should be granted, and then for the management of you tenancy.
When you browse our site, we also automatically receive your computer’s internet protocol (IP) address in order to provide us with information that helps us learn about your browser and operating system.
Email marketing: With your explicit permission, we may send you emails about our services and your tenancy.
Section 2 – Consent
How do you get my consent?
When you provide us with personal information we ask you to explicitly consent to our collecting it and using it for that specific reason only.
If we ask for your personal information for a secondary reason, like marketing, we will either ask you directly for your expressed consent, or provide you with an opportunity to say no.
How do I withdraw my consent?

We do not share your data with third parties except ones in connection with your tenancy , eg the DSS and council for any housing benefit claims. We also share with the Police where officially requested.

To protect your personal information, we take reasonable precautions and follow industry best practices to make sure it is not inappropriately lost, misused, accessed, disclosed, altered or destroyed.
If you provide us with your personal information, the information is encrypted using secure socket layer technology (SSL) and stored with industry-standard encryption. Although no method of transmission over the Internet or electronic storage is 100% secure, we implement generally accepted industry standards.

J9 Accommodation seeks to provide the highest level of accommodation available for its type and is proud to be held to the following standards.
- We provide indefinite tenancies– you can stay as long as you like.
- We do not increase your rent – stay as long as you want and have no rent increase.
- We never evict a tenant who cannot afford to pay their rent only those who wilfully refuse to pay their rent, refuse to claim Housing Benefit, co-operate with obtaining their benefits or finding alternative solutions.
- We provide a service standard for repairs. Most repairs are attended to within 48 hours and usually emergency repairs are done the same day.
- We provide the highest level of fire safety protection in our multi-lets
- Our properties are normally furnished
- No deposits are taken
- Provide a 24/7 manned telephone line
- Same day tenancies to suitable applicants
- Easy to read written tenancy agreement with obligations clearly stated.
- Provide tenancy support to tenants who need it
- Accurate and prompt tenant references
- Provide background central heating in most of our multi-lets, this gives a very basic level of heat. Additional heat is available in each room but this must be paid for by your electric meter.
- We keep written auditable repair and request records
- Support and help with rent arrears
- Written Eviction Protocol
In return we expect our tenants to conduct themselves in a tenant like manner, keep to their contract and pay their rent on time.
The above is a statement of intention, it is not contractually binding on J9 Accommodation, it cannot be used as a course of action or defence by a tenant or any other person.

- To apply for a property you will firstly need to complete an application form. A member of the lettings team will then go over the form with you in an interview.
How long does the application process take?
It’s possible to get same day housing if you meet ALL the following criteria;
- Able to provide proof of ID- Passport/ Drivers License/ Birth Certificate/ National ID Card (in date)
- Able to pay rent in advance plus the administration fee
- In full-time work and are able to provide proof of income for the last 3 months- Wage Slips/ Bank Statement
If we cannot house you the same day you come in we aim to house you as quickly as possible. We send off references as a matter of urgency and as soon as they come back we will update your application. If we can offer you accommodation the offer is usually made within 1 week of your initial application.
How much will it cost?
To move into a property you will need to be able to pay 4 weeks rent in advance plus the administration fee, which covers the cost of reference checks, credit checks license agreements and ASTs;
- £150 Administration fee for Rooms
- £175 Administration fee for Studios
- £300 Administration fee for Flats/Houses
If you are paid weekly sometimes rent can be just one week in advance, however this is subject to prior approval from the landlord.
We are happy to accept DSS applications. In order for your application to be successful you will need as a minimum to provide proof of ID, which MUST be Passport, Drivers License or Birth Certificate. You will also need proof of income which MUST be a recent letter from the DWP.
Universal credit applicants will need to be able to provide 4 weeks rent in advance. If you receive any other benefits you may be able to rent a property with just one weeks rent in advance, however this is subject to approval from the landlord.

AM I ABLE TO TRANSFER FROM ONE J9 PROPERTY TO ANOTHER?
Yes, as long as your rent account is up to date and you are able to pay the £50 transfer fee.
CAN I ADD AN ADDITIONAL PERSON TO MY LICENSE?
Yes, however the additional tenant must be vetted in the usual way via an application form and interview process. You must also have an up to date rent account and be able to pay the administration fee of £50. The rent for the accommodation will usually be increased if an additional tenant moves in.
HOW DO I OBTAIN ANOTHER COPY OF MY LICENSE AGREEMENT?
We can print off a copy of your license agreement for free upon request. Original documents can also be produced at a cost of £25.
CAN I GET A LANDLORD REFERENCE FROM J9?
Yes we are happy to give out references; they are usually processed by the Accounts Manager within 1 week of the request. References cost £25 per person.
AM I ALLOWED A PET IN MY PROPERTY?
Pets are not suitable for rooms in shared houses; however we do sometimes allow pets in studios which have direct access to a garden/yard. There is also a one off supplement fee of £50 payable to have a pet within your accommodation.
J9 charge the following NON REFUNDABLE one-off administration fees:
Room – £150
Studio – £175
House – £300
These are to cover reference and credit checks, cost of viewings, and setting up your tenancy.
They are only payable should you take a property, there is no charge if you are declined a place, or if you
turn down a property.
The are not returned at the end of your stay.
These are the maximum fees, there are no hidden extras.
We do not take deposits.
